Job Description

El Buen Samaritano Episcopal Mission (“El Buen”) is seeking a Facilities Manager to oversee all building and grounds maintenance. The Facilities Manager will ensure work environment and surrounding building areas are suitable for use.  Ideal candidate will be responsible for ensuring the facilities are safe, up to code, and fully operational, including cleaning, security, building maintenance and parking. The facilities manager will also be responsible for managing contractors, training new employees, and working with third party vendors.

Essential Functions:

  • Staff Supervision
    • Supervises all staff facilities staff (custodians, technicians, groundskeepers, day and evening porters, etc.) and external contractors
    • Oversees grounds keeping contractor to ensure compliance with contract. Have appropriate vendors maintain sprinkler system and work with City on inspections.
    • Serves as back up to cleaning team – emptying all trash containers from public areas and restocking all paper goods in restrooms, break room and kitchen
  • Building Maintenance
    • Performs or contracts for repair work and renovations; and maintaining all buildings, including electrical, plumbing, carpentry, painting, general repairs, power washing and air conditioner filter changes.   If unable to perform task, secures professional to make those repairs.
    • Oversees renovations, repairs and relocation projects as appropriate. Including contracted and volunteer maintenance workers.
    • Plans and creates plans for replacements and repairs 
    • Completes daily inspections and communicates with supervisor to provide updates.

    • Ensures efficiency and effectiveness of all building systems
      • maintains LED lighting, replacing bulbs and ballasts as necessary and keeping fixtures clean.
      • maintains thermostats for air conditioners, keeping temperatures at acceptable levels and adjusting for unoccupied buildings and cost efficiency.
      • keeps air conditioner units free of grass and dirt – clean periodically.
      • ensures that all facilities including elevator meet health, fire and safety code requirements. Meets with inspectors as necessary.
    • Maintains all equipment, tools, parts and supplies.
    • Maintains files of warranties, records, licenses, inspections, service agreements, and contracts for various pieces of equipment and vehicles.
    • Deals with emergency issues that arise. This position will generally be involved in anything that breaches the safety, security, or usability of the facilities. Facilities Manager will have contingency plans regarding what needs to be done if certain situations occur, such as equipment breaking down unexpectedly.
    • Provides recommendations of vehicle repairs, equipment repairs, purchases of new/used equipment, purchases of new/used vehicles, building repairs.
    • Support building maintenance functions during all multi-purpose building special events.
    • Maintains inventory of storage building following the Records Retention Policy
  • Vendor Contracts
    • Maintains a database of vendors and record of building and property repairs and services
    • Maintains warranties of supplies and equipment.  Contacting appropriate vendors as necessary.
    • Prepares and submits check requests and invoices for payment in a timely manner.
  • Fleet Management 
    • Ensures El Buen’s vehicles are in good working order and meet all legal requirements for driving
    • Maintains a database of vendors and record of fleet repairs and services
  • Facilities Budget Preparation and Reporting
    • Collaborates with appropriate management staff to prepare and implement budget
    • Proficient with Microsoft Office Suite or related software as required to complete and maintain records
  • Additional Requirements:
    • Associates degree required; Bachelor’s degree preferred
    • Experience managing the company’s type of facilities, vehicles, equipment and events preferred
    • Assists in receipt of deliveries when needed
    • Picks up donations as necessary.
    • Picks up food at the food bank and bread as necessary
    • Performs other duties as assigned

Knowledge, Skills and Abilities: 

A minimum of five (5) years of experience with a proven track record of maintaining a property of equivalent size and complexity

  • Strong work ethic, self-directed and able to coordinate multiple tasks, and highly motivated.
  • Able to work well independently and as a member of a team; able to work collaboratively, flexible and able to adapt to situations and manage change effectively
  • Able to efficiently address crises and problem-solve with open communication
  • Able to plan work schedule respective to program needs, including working evenings or weekends if needed.
  • Valid driver’s license and acceptable driving record. Eligible for coverage under organization’s insurance policy
  • Excellent knowledge of facilities management and maintenance.
  • Ability to prioritize assignments as necessary.
